Job Description:
Hexafusion Canada Inc. is seeking a highly organized and detail-oriented Administrative Assistant for a part-time, 3-month contract. This role encompasses a wide range of administrative tasks, requiring adaptability, proficiency in various software tools, and excellent organizational skills.
Extended Responsibilities:
- Manage, sort, and organize emails, ensuring professional and timely responses.
- Coordinate the procurement, stocking, and organization of office supplies, including inventory management.
- Handle comprehensive bookkeeping tasks using QuickBooks Online, including managing ledgers, processing invoices, and preparing financial reports.
- Conduct banking activities, such as depositing cheques, withdrawing funds, and reconciling bank statements.
- Execute postal and courier duties, including dispatching mail, managing inbound and outbound packages, and overseeing the returns process.
- Schedule and coordinate meetings, including setting up virtual meetings, preparing agendas, and taking minutes.
- Provide general administrative support to various departments, including data entry, document preparation, and file management.
- Assist in the coordination of company events, team meetings, and staff activities.
- Engage in direct communication with clients, suppliers, and partners as required.
- Facilitate internal communication, distributing memos, announcements, and relevant information to staff.
- Undertake research and analysis tasks as needed, providing support in gathering information and preparing reports.
- Manage and update databases and CRM systems, ensuring accuracy and confidentiality of information.
- Oversee the maintenance and organization of the office environment, ensuring a clean and functional workspace.
- Anticipate and identify the needs of the team, proactively addressing issues and providing solutions.
- Adapt to additional responsibilities and changing priorities as the company evolves and as new projects emerge.
Requirements:
- Possession of a valid work authorization for employment in Canada.
- Successful completion of a criminal background check.
- Proficient in Microsoft 365, including Microsoft Office applications.
- Familiarity with QuickBooks Online.
- Strong organizational, time management, and multitasking skills.
- Excellent communication and interpersonal abilities.
